IBS Web Supply Manager provides a new communication channel that can be used to exchange different kinds of information, not just EDI-formatted data. The suppliers have 24/7 access to critical business information requiring only a web browser and Internet access. Each supplier has his individual user ID and password, and can only access his individual information.
IBS Web Supply Manager includes a wide range of functionality for supplier and business partner communication, extending the supply chain business processes support. Examples of functionality included are:
Delivery schedule management
Delivery schedule functions include:
- Delivery schedules and forecasts publishing (DELFOR)
- email alert to the supplier when a new delivery schedule is available
- Net delivery schedule calculation, reconciliation of shipments and deliveries
- Supplier functions for comparison of new/old schedules
- Supplier acknowledge and comment on new schedules
- Possibility to print delivery schedules in PDF format.
Vendor-managed inventory support
When using the gross forecast delivery schedule type in IBS Enterprise, information about stock on hand as well as minimum and maximum inventory levels is also transferred to IBS Web Supply Manager. In the dispatching functions, time-phased stock on hand level at the customer location is calculated (based on forecast demand and stock on hand). When below the minimum inventory level, a delivery suggestion is produced.
Purchase order management
Purchase order management functions include:
- Individual purchase order publishing (ORDERS)
- Supplier order confirmation (ORDRSP)
- Order change handling (ORDCHG)
- Possibility to print purchase orders in PDF format.
Dispatch management
Dispatch management is based on the received delivery schedules and purchase orders. Dispatch management functions include:
- Delivery planning and preparation support and consolidation of demand
- Pallet handling
- Printing of delivery note and goods label with bar code in PDF format
- Creation of dispatch advice message (DESADV).
The dispatch advice (DESADV) information created is immediately received into IBS Enterprise. This means that as soon as the goods have left the supplier, IBS Enterprise is updated with dispatch information ensuring the customer excellent control of his supply chain.
Invoice management
Based on the dispatched goods and order data, invoices to the customer are created. Invoice management functions include:
- Supplier invoices created based on dispatched goods
- Creation of invoice message (INVOIC)
- Possibility to print invoice documents in PDF format
The invoice information (INVOIC) created is immediately received into IBS Enterprise.
Information and document publishing
Information and document publishing functions include:
- Public and individual text messages
- Upload and publishing of different of document types (Word, Excel etc.), for delivery instructions, engineering data, supplier performance etc.).
Technical infrastructure- Standard DI interfaces are used between IBS Enterprise and IBS Web Supply Manager
- XML interfaces for download to supplier back-end system
- Standardised user interface according to Odette recommendations.
